B2B cold email campaigns that get replies

Every message is written for one specific recipient, not pulled from a template. Small, controlled volumes: no spam, and no risk to your domain's reputation.

ToJames Whitaker · Sales Director, Ashbourne Controlsexample, fictional data

Hi James,

I see that Ashbourne Controls is hiring three new sales executives.market signal: new hires

In a recent LinkedIn post you wrote that outbound is getting harder every quarter.LinkedIn activity: post from 5 days ago

Your website describescontrol systems for food and drink manufacturers. In a market like that, the list ends at a few hundred names, not thousands of addresses.company data: what you sell, and to whom

With a list that short, every message has to be written for one person. For new starters, writing them will take more time than the conversations themselves. We can take it on and hand them booked meetings. Do you have 15 minutes?

B2B cold email: what it is

B2B cold email means writing to companies that have not dealt with you before, to start a sales conversation. It is not a newsletter or a mass mailing: each message goes to a named decision-maker and refers to their situation. Together with LinkedIn it is the core of outbound.

When cold email makes sense

When it doesn't

You send the same message to a thousand people on a bought list. The channel is not the difference. Preparation is: knowing something specific about each recipient.

When it works

You sell a product or service to businesses at a value that justifies a sales conversation, and you can say exactly who your customer is.

How we run a campaign, step by step

  1. 01

    Customer profile and contact database

    ICP + Prospecting

We define your ideal customer profile (ICP) and build a contact database to match it, from public data rather than a bought list.

  2. 02

    Context on every recipient

    Context Intelligence

Our platform gathers LinkedIn activity, company website data and market signals before we write the first message.

  3. 03

    The message sequence

    Personalised Copy

Every message is unique, based on what we know about the recipient and on a framework chosen for its place in the sequence (3-4 messages, 3-6 days apart).

  4. 04

    Infrastructure and deliverability

    Deliverability

A separate sending domain, SPF, DKIM and DMARC authentication, and mailbox warm-up. Your main domain stays untouched.

  5. 05

    Qualifying replies and booking meetings

    Qualified Meetings

We send at a controlled pace, qualify the replies and book sales meetings. We agree the offer and the messaging with you before launch.

Why our messages reach the inbox and not the spam folder

Infrastructure

Properly authenticated domains (SPF, DKIM, DMARC), mailbox warm-up and sending limits that do not raise filter suspicion.

Personalisation

No two messages are the same. Filters and recipients both react badly to identical bulk emails. Context about the individual makes a message read as if it were written by hand.

No tracking pixel

We deliberately do not measure opens: a tracking pixel hurts deliverability and filters detect it. We measure replies and meetings.

A plan for your campaign

Results depend on the market, the database and the offer. We agree the plan and a realistic scope on a call, after analysing your customer profile.

Cold email questions

Yes, within limits. Under PECR you can email corporate subscribers (limited companies, LLPs and public bodies) without prior consent, provided every message says who is sending it and gives a simple way to opt out. Contact details of named people are personal data under UK GDPR, so we rely on legitimate interests. Sole traders and most partnerships are treated like individuals, so we exclude them from UK lists.

The opposite. Badly done cold email damages a brand, while well done cold email builds one. We agree the offer and the messaging with you, and every message is written for the recipient and addresses a real problem of theirs.

A typical sequence is 3-4 messages, 3 to 6 days apart. More can feel pushy. The number of messages and the rhythm depend on the size of the prospect database.

First positive replies often arrive on the day sending begins. The email campaign starts in week four of working together, once the mailboxes have been warmed up.
